KBusiness: connecting sales teams with business processes

The Adama Group case: sales data, order entry and approvals in a web application integrated with SAP Business One.

The starting point

An external platform sent orders twice a day. Central teams faced concentrated workloads, while extra discounts and payment terms required specific assessments. The goal was to connect field work with the company’s controls and decisions.

One environment, from visit to order

KBusiness connects sales representatives, area managers, sales managers and credit controllers. The web application integrates business data and rules with SAP Business One and provides mobile access according to each user’s role.

From visit to order: a shared process

  1. Preparation

Customer data, sales for the current and previous two years, product and family filters, catalogues and price lists with permission-based visibility.

  2. Proposal and order

K-Orders captures customer, destination, delivery, items and payment details. Representatives consult prices, stock, assortment history and allowed discounts, save drafts and confirm orders according to requirements.

  3. Checks and approvals

Minimum orders, amounts and product combinations can contribute to commercial rules. Extra discounts and payment changes trigger notifications to authorised managers, with a decision history.

  4. Management and control

Shared statuses from draft to shipment, identifiable approval waits and order PDFs. Quarterly targets, invoices, open orders and Excel exports support performance analysis by customer, item, representative and territory.

Inside the sales process

Prepare visits with comparable information

Sales views cover the current year and the previous two, in tables and charts. Item and product-family filters enable comparisons for the same period and deeper analysis of the customer’s assortment. Catalogues and price lists are available according to permissions, so proposal preparation starts from information accessible to each user.

K-Orders: enter, save, confirm

Order entry starts with the customer, destination, delivery date and payment terms. For each item, representatives consult list prices, stock and permitted discounts, alongside assortment history and information reserved for them. Drafts allow users to pause entry and complete submission once the required conditions are met.

Manage exceptions while retaining control

The installation’s rules can combine minimum orders, amounts and item counts. Discounts beyond standard terms follow sales managers’ authorisation levels; payment changes are assessed by the credit controller. Notifications involve the responsible person when a decision is needed. Accepted and rejected requests remain available in approval history and reports.

Give sales teams and management visibility

The overview distinguishes drafts, orders being processed, transmitted, not approved and shipped. Users can identify outstanding approvals and involved functions, access details and obtain a PDF to share with the customer. Sales representatives and area managers also consult quarterly targets against invoices and open orders, summaries of key customers and items, and details exportable to Excel.

From periodic transfers to decisions throughout the process

Previously, two daily transfers concentrated orders and exceptions on central teams. In the case presented, integrated notifications and controls bring authorisation requests to decision-makers when the need arises. The benefit goes beyond order entry: continuity between collection, checks and management makes the process easier to govern.
